Office Manager (Full time or Part time)


Silverthread is seeking an Office Manager to work with our main Business Development Team. This role will provide high-level administrative support to the CEO of the company and team administrative support, as required. The Office Manager/Executive Assistant will be managing the administration and coordination of internal meetings and interacting with all levels of management throughout the organization. This candidate will be highly motivated, able to multitask, a quick learner, and able to represent the company in a professional manner.


  • Work closely with the CEO of the company as well as with the rest of the team.
  • Take on or contribute to special projects of moderate to high-levels of complexity and do so with minimal supervision. Examples may include:
    • General administrative tasks
      • Manage calendars
      • Travel booking
      • Arrange meetings
      • Draft correspondence
      • Coordinate catering and plans parties
      • Assist administrative team with office support functions
      • Manage relationships with commercial and government customers
    • Marketing and advertising
      • Update the company’s website
      • Draft sales materials
      • Develop marketing materials, advertising materials, and PowerPoint presentations
    • Legal
      • Coordinate patent filings with our law firm
      • Attend Board of Directors and Advisory meetings and take notes
    • Financial
      • Use Excel to model financial information
      • Enter information into QuickBooks accounting system
      • Administer payroll
    • Manage internal Silverthread databases, records, files and/or other documents including careful handling of confidential and sensitive material.
    • Administer functions related to incoming and outgoing mail; composes, prepares, or ensures timely response to a variety of written inquiries. Draft correspondence for Silverthread leadership as necessary.

  • Bachelor’s degree or equivalent combination of education and relevant experience.
  • Excellent communication and writing skills
  • Minimum of approximately 1 year of experience
  • Ability to independently establish priorities and meet deadlines
  • High level computer proficiency, including: Google Suite (Google Calendar and Google Drive), Mac OS X, Microsoft Word, Excel, PowerPoint; with capability to rapidly learn additional computer applications.
  • Nice to have: Prior experience with project management systems such as Jira, Confluence, and accounting systems such as QuickBooks
